What Is Always Refundable — All Policies
Regardless of when a cancellation occurs, the following items are always 100% refundable, including their associated taxes:
Protection packages (exterior/physical damage insurance)
Damage protection (interior insurance)
Add-ons and extras included in the booking
Prep fees required on the booking
Security deposit waiver (if applicable)
Delivery and pickup fees
What Is Never Refundable — All Policies

Platform service fees and taxes charged on service fees
Trip protection / travel insurance premiums — conditionally refundable only if cancelled within 10 days of purchase, or if Company cancels the booking

The following applies to all rentals that do not fall within a designated event period:

Burning Man Rentals
BURNING MAN RESERVATIONS ARE SUBJECT TO A STRICT NON-NEGOTIABLE CANCELLATION POLICY DUE TO THE LIMITED AVAILABILITY OF VEHICLES DURING THIS PERIOD AND THE SIGNIFICANT LOGISTICAL COSTS INVOLVED.
Rental Amount Refund Schedule:
Cancel within 48 hours of booking AND at least 30 days before departure: Full refund of rental amount
Cancel 90 or more days before departure: 75% refund of rental amount (Renter pays 25%)
Cancel 90 to 60 days before departure: 50% refund of rental amount (Renter pays 50%)
Cancel 59 to 30 days before departure: 50% refund of rental amount only if the unit is re-rented at equal or greater value for the same dates. If re-rented at a lesser rate, Renter pays the difference plus 50% of the original rental amount.
Cancel less than 30 days before departure: No refund of rental amount (Renter pays 100%)
No-show on day of departure: No refund (Renter pays 100%)
Company strongly recommends purchasing independent trip cancellation and interruption insurance for all Burning Man reservations. Event cancellations by the organizer or a government authority do not automatically entitle Renter to a refund beyond this policy; see Section 18 (Force Majeure).
Night in the Country and Other Designated Major Events

Cancel less than 7 days before departure: No refund (Renter pays 100%)
No-show on day of departure: No refund (Renter pays 100%)

This RV Rental Agreement ("Agreement"), together with any booking confirmation, addenda, and policies incorporated herein by reference, is made by and between:
NV RV Rentals LLC, a Nevada limited liability company ("Company," "We," or "Us"), located at 71 Webb Circle, Reno, NV 89506;
and
the individual identified in the booking confirmation as the Primary Driver ("Renter," "You," or "Your").
Renter and Company are collectively referred to as the "Parties." Where Renter has released and/or indemnified Company, such release and indemnification extends to Company's members, managers, officers, employees, agents, affiliates, and the vehicle's titled owner of record.
The terms of this Agreement survive the end of the rental period and remain in full force and effect. By completing a confirmed booking, Renter acknowledges having read and agreed to all terms herein and expressly authorizes Company to charge the payment method on file for all rental fees, security deposits, overages, and claim-related charges arising under this Agreement.
QUICK REFERENCE — KEY RULES
These rules apply at all times. Violations may result in immediate termination of the rental, forfeiture of the security deposit, and full personal liability for all resulting damages. See Section 5 for full prohibited use terms.
No smoking of any kind inside the vehicle or near any windows or doors.
No climbing on the roof under any circumstances, whether or not a ladder is present.
Maximum speed: 60 MPH at all times.
No towing of any kind without prior written approval from Company.
Awning use is permitted at Renter's own risk only. Always retract in wind or adverse weather.
Return with: full gas tank, emptied black/gray tanks, and clean interior and exterior.
Minimum driver age: 25 years. No exceptions.
Pets require prior written approval and payment of the pet fee. Undisclosed pets = full security deposit forfeiture.
Cannabis/marijuana use or possession inside or near the vehicle is strictly prohibited.
Slide-outs must be fully retracted before moving the vehicle. Failure to do so voids all coverage.
Do not exceed the vehicle's posted weight or passenger capacity limits.
1. DEFINITIONS
"Renter" means the individual completing the booking and designated as the Primary Driver, who is fully responsible for all obligations under this Agreement.
"Company" or "We" means NV RV Rentals LLC, the rental operator. Note: The term "Owner" is intentionally not used in this Agreement to avoid confusion with the vehicle's titled owner, which may be a third party under a separate consignment arrangement.
"Rental" means the motorized or towable recreational vehicle provided under this Agreement, including all tires, tools, key fobs, keys, equipment, license plates, registration documents, and all other property provided with the vehicle at departure.
"Rental Period" means the time from when Company transfers possession of the Rental to Renter through to the time the Rental is returned to and accepted by Company.
"Permitted Driver" means the Renter and any additional drivers expressly approved in writing by Company prior to the start of the Rental Period.
RENTER ACCEPTS THE RENTAL "AS IS" WITH ALL FAULTS AND WITHOUT RESERVATION. COMPANY DOES NOT WARRANT AND EXPRESSLY DISCLAIMS ANY AND ALL WARRANTIES, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF CONDITION, QUALITY, PERFORMANCE, UTILITY, SUITABILITY, OR FITNESS FOR ANY PARTICULAR PURPOSE.
2. RENTAL PERIOD AND POSSESSION
The Rental Period begins when Company transfers keys and possession of the Rental to Renter at the agreed pickup location. The Rental Period ends upon completed return of the Rental to Company at the agreed return location and time, as confirmed by Company.
Delivered Rentals:
For Rentals delivered by Company, Renter's responsibility and liability begin when the Rental arrives at the delivery location, regardless of whether Renter has taken physical possession of the keys. Renter's responsibility ends when the Rental is retrieved by Company or Company's designated driver. Any damage occurring during Company's delivery transit to Renter, or during Company's return transit from Renter, is Company's responsibility up to the applicable insurance deductible; damage occurring at any other time during the Rental Period is Renter's responsibility per this Agreement.
Recovery of Rental:
Company reserves the right, in its sole and reasonable discretion, to recover the Rental from Renter if Company determines the Rental is at imminent risk of damage, loss, or misuse, or if Renter has materially violated this Agreement. Renter shall bear all costs associated with such recovery, including but not limited to employee wages, travel expenses, fuel, and any required repairs. Recovery does not entitle Renter to a refund of any amounts paid.
3. SECURITY DEPOSIT
A security deposit is required no later than two (2) calendar days prior to the scheduled pickup date. The deposit will be held and returned in accordance with the terms below.
Standard Security Deposit Schedule
Standard rental: $1,000 – $2,000
Class A / Toy Hauler: $2,000 – $3,000
Burning Man rental (with approved full-coverage insurance binder): Standard rate above
Burning Man rental (without approved full-coverage insurance binder): $10,000 or more
The exact deposit amount will be confirmed in the booking confirmation. Company may apply the security deposit toward any amounts owed by Renter under this Agreement. If the deposit amount is insufficient to cover all charges, Renter agrees to pay all excess amounts immediately upon demand. Company's application of the deposit does not limit Company's right to recover additional amounts owed.
Security Deposit Return
The security deposit will be returned within seven (7) calendar days for standard rentals, and within thirty (30) calendar days for event rentals (including but not limited to Burning Man and Night in the Country), provided ALL of the following conditions are satisfied:
Rental returned clean, in the same or better condition as at departure
Fuel level equal to or above the level at departure
Black and gray holding tanks emptied to or below the level at departure
No new damage to interior or exterior beyond documented pre-existing conditions
All variable charges (mileage overage, generator overage, tolls, tickets, etc.) paid in full
No outstanding claims, disputes, or unresolved damage assessments
If any condition above is not met, Company may withhold all or a portion of the security deposit and will provide Renter with a written itemization of deductions within the applicable return timeframe.
4. PERMITTED DRIVERS AND DRIVING REQUIREMENTS
Only the Renter (Primary Driver) and additional drivers expressly approved in writing by Company prior to the start of the Rental Period may operate the Rental. Renter is responsible for ensuring that all Permitted Drivers are aware of and comply with all terms of this Agreement.
MINIMUM DRIVER AGE: 25 YEARS. NO EXCEPTIONS.
Persons under the age of 25 are NOT covered under any rental insurance policy provided through Company or applicable platforms. Any operation of the Rental by a person under 25 will: (a) void all insurance coverage for the entire duration of the Rental Period; (b) make Renter personally liable for all damages, claims, liabilities, and losses; and (c) may result in immediate termination of the rental without refund and forfeiture of the security deposit.
Renter is fully responsible for all damages, accidents, incidents, tolls, and citations involving any Permitted Driver. Renter warrants that all Permitted Drivers hold a valid driver's license and will remain validly licensed for the entire Rental Period.
Driving Rules
Maximum speed: 60 MPH at all times. Exceeding this limit voids insurance coverage and makes Renter liable for all resulting damage.
Renter acknowledges that RVs and trailers require significantly more skill to operate safely than standard passenger vehicles and accepts full responsibility for knowing and adhering to the specific clearance heights, widths, turning radius, and operational limitations of their Rental.
Spotters are strongly recommended when backing. Backing accidents are among the most common RV claims and are Renter's sole responsibility.
No off-road operation is permitted under any circumstances.
No operation while under the influence of alcohol, controlled substances, prescription medications that impair driving ability, or any other impairing substance.
Slide-outs must be fully retracted before the vehicle is moved. Damage caused by moving the vehicle with slide-outs extended is not covered by any insurance and is Renter's sole financial responsibility.
Renter shall not exceed the vehicle's posted maximum weight capacity or passenger load limits. Overloading the vehicle voids insurance and makes Renter personally liable for all resulting damage.
5. PROHIBITED USE
A VIOLATION OF ANY ITEM IN THIS SECTION GIVES COMPANY THE RIGHT TO IMMEDIATELY TERMINATE THE RENTAL WITHOUT REFUND AND VOIDS ALL INSURANCE COVERAGE, LIABILITY PROTECTION, AND ROADSIDE ASSISTANCE. RENTER WILL BE PERSONALLY AND FULLY LIABLE FOR ALL PENALTIES, DAMAGES, RECOVERY COSTS, LEGAL FEES, AND ATTORNEYS' FEES ARISING FROM ANY SUCH VIOLATION.
The following constitute prohibited use and material breaches of this Agreement:
Operation by any person who is not a Permitted Driver
Operation by any person under 25 years of age
Carrying more passengers than the number of functioning seat belts in the Rental
Exceeding the maximum posted speed of 60 MPH
Towing, pushing, or attaching any vehicle or object without prior written Company approval
Occupying or allowing occupants inside a towable trailer while it is in motion
Racing, speed testing, performance testing, or any competitive use
Off-road, unpaved road, or terrain use not expressly approved in writing
Operation while under the influence of alcohol, controlled substances, or impairing medications
Use for any unlawful purpose, including but not limited to transportation of controlled substances, contraband, stolen goods, or human trafficking
Travel outside the continental United States (including Mexico or Canada) without prior written Company approval
Material misrepresentation of the intended use, destination, or number of occupants
Use of a hand-held wireless device while driving in violation of applicable law
Smoking of any kind (tobacco, cannabis, e-cigarettes, or any other substance) inside the Rental or within proximity of any windows or doors
Any person accessing the roof of the Rental for any reason
Moving the vehicle with slide-outs extended
Exceeding vehicle weight or passenger capacity limits
Subleasing, lending, or transferring the Rental to any unauthorized party
5A. Pet Policy
Pets are permitted with prior written approval from Company and payment of the required pet fee. Renter must disclose all animals at the time of booking or prior to pickup.
Undisclosed or Unauthorized Animals:
If any animal (other than a legally recognized service animal under the ADA) is found to have been in the Rental without prior written Company approval, Renter will forfeit the ENTIRE security deposit, regardless of whether any pet-related damage is visible. This forfeiture is in addition to, and does not limit or replace, any charges for actual pet damage, including deep cleaning, odor remediation, and repairs.
Service Animals:
Service animals are permitted as required by the Americans with Disabilities Act (ADA) and applicable Nevada law. Service animals must remain harnessed, leashed, or tethered unless the individual's disability prevents such restraint. No pet fee will be charged for service animals; however, Renter remains responsible for any damage caused by a service animal.
5B. Cannabis and Controlled Substance Policy
Use, possession, or storage of cannabis, marijuana, or any derivative product inside or in the immediate vicinity of the Rental is strictly prohibited, regardless of Nevada state law or any other applicable jurisdiction's law. The Rental operates across multiple states and jurisdictions where cannabis remains federally and/or locally illegal. Additionally, all rental insurance policies universally exclude losses occurring while controlled substances are in active use.
Any evidence of cannabis use inside the Rental, including odor, residue, smoke staining, or paraphernalia, will result in:
Forfeiture of the full security deposit
Additional cleaning and professional deodorizing fees billed at cost, which may significantly exceed the deposit
Voiding of all insurance coverage for the entire Rental Period
Immediate termination of the rental without refund if discovered during the Rental Period
Potential reporting to law enforcement at Company's discretion
All other controlled substances are similarly prohibited. Company reserves the right to terminate the rental immediately and contact law enforcement upon discovery.
6. AWNING
Renter is authorized to use the awning during the Rental Period. Awning use is entirely at Renter's own risk. Company assumes no liability for damage caused by or to the awning, including but not limited to damage resulting from wind, weather, improper operation, failure to retract, or contact with obstacles or structures.
The awning fabric must remain in Renter's possession and control at all times and be returned to Company in order for any awning-related damage to be eligible under any purchased protection package. Damage to the awning resulting from Renter's operation or Renter's failure to retract the awning in adverse conditions (including wind exceeding 15 MPH) is Renter's sole financial responsibility, regardless of insurance coverage purchased.
7. BURNING MAN — SPECIAL TERMS
7A. Authorized Event Vendor
NV RV Rentals LLC is an authorized Official Support Services (OSS) vendor for Burning Man. Company is authorized to deliver and retrieve Rentals to and from Black Rock City event grounds in accordance with Burning Man Organization policies and Bureau of Land Management (BLM) requirements.
7B. Insurance Exclusions — READ CAREFULLY BEFORE BOOKING
BURNING MAN IS CLASSIFIED AS AN UNAUTHORIZED USE EVENT BY ALL RENTAL INSURANCE PROVIDERS. THE FOLLOWING EXCLUSIONS APPLY TO ALL BURNING MAN RESERVATIONS.
The following coverage exclusions apply to all Rentals attending Burning Man or any similarly excluded special event:
There is NO coverage for the Rental while on Burning Man event grounds, for any reason.
There is NO coverage for any event-related damage of any kind, including playa dust damage to the interior, exterior, mechanical systems, electrical systems, or any components.
There is NO coverage for vandalism, theft, or accident damage occurring on or near event grounds.
The only insurance available under the standard rental policy is liability-only coverage, applicable solely during road transit to and from the event, at Nevada state minimum liability limits.
Liability-only coverage means: if Renter is at fault in a covered road accident in transit, only third parties' property damage is covered. The Rental itself is NOT covered for any physical damage under the liability-only policy.
Company strongly recommends that all Renters attending Burning Man obtain independent comprehensive and collision coverage for the full duration of the Rental Period, including while on event grounds, through a third-party insurer or by adding the Rental to their personal auto policy.
Insurance Binder Option:
If Renter provides a valid insurance binder confirming full comprehensive and collision coverage for the Rental, including on-playa coverage, for the entire Rental Period, prior to departure, Company will remove the standard rental insurance charge. If a qualifying binder is not provided, a security deposit of $10,000 or more is required and will be collected prior to departure.
Renter's Acknowledgment — Burning Man Insurance:
By proceeding with a Burning Man reservation, Renter expressly acknowledges: (i) they have read and understand the insurance exclusions set forth in this Section 7B; (ii) they understand that the Rental has no physical damage insurance coverage while on event grounds; (iii) they accept full personal financial responsibility for any and all damage to the Rental occurring on event grounds, regardless of fault or cause; and (iv) Company is not liable for any uninsured or underinsured loss arising from a Burning Man reservation.
7C. Playa Dust and Mandatory Cleaning Fee
Black Rock City's alkaline playa dust is extremely fine, highly pervasive, and damaging to RV systems. All Burning Man Rentals are subject to a mandatory non-refundable deep cleaning fee, assessed regardless of how thoroughly Renter cleans the unit prior to return. This fee covers professional steaming of vents, filter replacement, and removal of playa dust from mechanical and hard-to-access areas.
If the Rental is returned in reasonably clean condition beyond the mandatory deep-clean scope, no additional cleaning fees will be assessed. If additional cleaning beyond the mandatory scope is required due to Renter's condition of return, Renter will be billed at Company's standard hourly cleaning rate. Company will work reasonably with Renter in making this assessment.
7D. On-Playa Delivery
Company offers full-service on-playa delivery as an authorized OSS vendor. Delivery service includes transport to Renter's registered camp location, professional placement and leveling, and post-event pickup and removal. Delivery pricing reflects applicable Burning Man Organization fees, BLM access fees, required insurance, labor, fuel, and retrieval logistics.
Cleaning fees, holding tank dumping, and generator fuel are billed separately and are not included in the delivery fee. A stationary protection insurance package is required for all delivered units.
Estimated delivery cost: approximately $4,000. Reno self-pickup remains available at no delivery charge. All pricing is subject to confirmation in the booking details.
8. RATES, MILEAGE, AND GENERATOR
Rental rates vary by vehicle type, rental duration, selected amenities, and delivery options. Rates confirmed in a booking are locked for that reservation; Company reserves the right to adjust rates for future or unconfirmed bookings.
Included Per Day (averaged over the full trip):
100 miles per day (mileage calculated from odometer readings at departure and return, divided by the number of rental days)
4 generator hours per day (calculated from generator hour meter readings at departure and return, divided by the number of rental days)
Generator fuel is Renter's responsibility. Renter agrees to maintain sufficient fuel in the generator's fuel supply at all times and will not be reimbursed for fuel purchased for the generator unless otherwise agreed in writing.
Overage Rates:
Mileage and generator overages are billed at rates confirmed at the time of reservation. Mileage overages are billed on a tiered scale; generator hour overages are billed at the confirmed per-hour rate. All overage charges will be calculated at the conclusion of the trip and added to the reservation balance.
All rental fees and charges must be paid in full prior to vehicle pickup. Unused days in the event of an early return are non-refundable.
9. PICKUP AND PRE-RENTAL ORIENTATION
Renter must review the applicable Welcome Guide for their specific Rental unit prior to arriving for pickup. Please allow 30 to 60 minutes for the pre-rental walkthrough and orientation. Arriving unprepared or late does not shorten the orientation process; the full orientation will be conducted regardless.
During the walkthrough, Company will:
Demonstrate operation of all primary RV systems (water, power, HVAC, leveling jacks, slide-outs, awning, generator, holding tanks, etc.)
Photograph and document all pre-existing damage to the interior and exterior of the Rental. These photos will be uploaded to the reservation and constitute the official record of the Rental's condition at departure.
Record fuel level, odometer reading, and generator hour meter at departure
Assist with hookup to tow vehicle, if applicable
Answer questions specific to the Rental unit
For Burning Man Rentals, the orientation will additionally cover generator operation in desert conditions, water system management, holding tank capacity, power management, and playa-specific operational considerations.
Pre-Existing Damage Documentation:
Prior to or at the time of departure, Company will photograph the Rental's interior and exterior and upload those photos to the reservation. These photos serve as the official record of the Rental's condition at the start of the Rental Period. No signature from Renter is required on a departure inspection form. Renter is encouraged to take their own photos at pickup and may upload them to the reservation as well for their own records. Any damage not visible in Company's departure photos and discovered upon return will be presumed to have occurred during the Rental Period and will be Renter's financial responsibility.
10. RETURN POLICY
Renter must return the Rental no later than the checkout date and time confirmed in the booking. Returns are not considered complete until Company has inspected the Rental and acknowledged receipt.
Late Return Fees:
Up to 8 hours late: $30 administrative fee plus a prorated hourly rate based on the daily rental rate
More than 8 hours late (per additional 8-hour block): $100 administrative fee plus the full daily rental rate
If a late return causes Company to cancel or lose another confirmed reservation, Renter is responsible for the full value of the lost reservation, including any non-refundable amounts Company is required to pay
Return Condition Requirements:
The Rental must be returned meeting all of the following standards:
Interior and exterior cleaned to the same or better condition as at departure
Fuel tank full to the same level as at departure (per Company's departure photos on file)
Black and gray holding tanks emptied to or below the level at departure
All slide-outs fully retracted
All supplied items, equipment, and accessories present and accounted for
No new damage beyond pre-existing conditions documented in Company's departure photos
Both Company and Renter should photograph the Rental thoroughly at the time of return. Photographs submitted by Renter within 48 hours of return may be used to contest damage claims; photographs submitted after 48 hours will not be accepted for claim purposes.
11. INSURANCE
Renter must select one of the required insurance/protection packages presented during the booking process. Completion of a booking without selecting a valid protection package is not permitted; if Renter proceeds to pickup without a confirmed package, Company reserves the right to require selection prior to vehicle release or to deny the rental without refund.
Available protection packages cover physical damage resulting from covered accidents and provide liability protection, with varying deductibles and coverage limits disclosed clearly at booking. Renter is responsible for understanding the specific terms, deductibles, and exclusions of the selected package.
Coverage Exclusions:
Interior damage is covered by a separate optional interior protection policy or applied against the security deposit if no interior policy is purchased
Normal wear and tear and routine maintenance items are not covered
Personal belongings, clothing, and personal effects are not covered
Mechanical failures unrelated to a covered accident are not covered
Damage resulting from prohibited use (see Section 5) is not covered
Damage resulting from operation by an unauthorized or under-age driver is not covered
Awning damage resulting from Renter misuse or failure to retract is not covered
Slide-out damage resulting from Renter moving the vehicle with slide-outs extended is not covered
If Renter carries personal auto insurance that may extend to rental vehicles, Company recommends contacting their insurance agent prior to the Rental Period to confirm coverage applicability.
Renter is solely responsible for all parking citations, moving violations, toll charges, red light camera fines, and other penalties incurred during the Rental Period.
12. DAMAGE, PHOTOS, AND CLAIMS
Photo Requirements:
Company must photograph the Rental's exterior and interior within 24 hours of departure. Failure to do so may affect Company's ability to file an insurance claim for damage discovered at return.
Renter must submit return photos within 48 hours of return to Company via email to nvrvrentals@gmail.com or through the applicable booking platform. Photos submitted after 48 hours will not be accepted for claim or dispute purposes. Photos must be time-stamped and cover all exterior panels, tires, undercarriage (where accessible), and interior living areas.
Damage Reporting:
In the event of any accident, damage, theft, or vandalism during the Rental Period:
Renter must notify Company by phone at (775) 453-0601 within 24 hours of the incident
Renter must report the incident to the applicable insurance provider within 48 hours of return
A police report is required for all vandalism, theft, and hit-and-run incidents; failure to obtain a police report may result in denial of the insurance claim and Renter becoming fully responsible for all repair costs
Renter must not authorize, perform, or allow any repairs without Company's prior written approval, except as provided below
Emergency Repairs:
Repairs under $200 may be authorized and completed by Renter in a genuine roadside emergency, with original receipts submitted to Company at return for reimbursement consideration
All repairs over $200 require prior written authorization from Company, regardless of circumstances
Failure to report damage within the 48-hour window that results in a denied insurance claim makes Renter fully responsible for the entire cost of repair
Renter is responsible for all repair costs up to the deductible in their chosen protection package. If damage costs exceed the deductible, the applicable insurance policy applies. If damage results from prohibited use or policy violation, Renter is responsible for the full cost of repair with no insurance offset.
13. SUPPLIES AND EQUIPMENT
Each Rental is provided with the following standard supplies at departure:

Additional kitchen supplies, extra bedding, camping gear, outdoor furniture, and other add-on items are available for rent at additional cost. Renter is responsible for managing all consumable resources (fuel, propane, water, generator fuel) for the duration of the trip. Company will not resupply consumables during the Rental Period. Renter is responsible for ensuring any rented add-on items are returned in good condition; damage to add-on items will be charged at replacement cost.
14. CANCELLATION POLICIES
All cancellation requests must be submitted in writing via email to nvrvrentals@gmail.com or through the applicable booking platform. Cancellation is not effective until confirmed in writing by Company. Refund amounts are calculated based on the date Company receives written notice of cancellation. Any outstanding balance owed by Renter at the time of cancellation must be paid immediately.
Reservations made during late August/early September or coinciding with Burning Man or Night in the Country are subject to the separate stricter cancellation policies set forth below. By booking an RV during these periods, Renter acknowledges and agrees to the applicable event cancellation policy. Renter is responsible for reading this Agreement and understanding which policy applies to their reservation.
What Is Always Refundable — All Policies
Regardless of when a cancellation occurs, the following items are always 100% refundable, including their associated taxes:
Protection packages (exterior/physical damage insurance)
Damage protection (interior insurance)
Add-ons and extras included in the booking
Prep fees required on the booking
Security deposit waiver (if applicable)
Delivery and pickup fees
What Is Never Refundable — All Policies
Regardless of when a cancellation occurs, the following are non-refundable:
Platform service fees and taxes charged on service fees
Trip protection / travel insurance premiums — conditionally refundable only if cancelled within 10 days of purchase, or if Company cancels the booking
Standard Rentals
The following applies to all rentals that do not fall within a designated event period:

Burning Man Rentals
BURNING MAN RESERVATIONS ARE SUBJECT TO A STRICT NON-NEGOTIABLE CANCELLATION POLICY DUE TO THE LIMITED AVAILABILITY OF VEHICLES DURING THIS PERIOD AND THE SIGNIFICANT LOGISTICAL COSTS INVOLVED.
Rental Amount Refund Schedule:
Cancel within 48 hours of booking AND at least 30 days before departure: Full refund of rental amount
Cancel 90 or more days before departure: 75% refund of rental amount (Renter pays 25%)
Cancel 90 to 60 days before departure: 50% refund of rental amount (Renter pays 50%)
Cancel 59 to 30 days before departure: 50% refund of rental amount only if the unit is re-rented at equal or greater value for the same dates. If re-rented at a lesser rate, Renter pays the difference plus 50% of the original rental amount.
Cancel less than 30 days before departure: No refund of rental amount (Renter pays 100%)
No-show on day of departure: No refund (Renter pays 100%)
Company strongly recommends purchasing independent trip cancellation and interruption insurance for all Burning Man reservations. Event cancellations by the organizer or a government authority do not automatically entitle Renter to a refund beyond this policy; see Section 18 (Force Majeure).
Night in the Country and Other Designated Major Events
Rental Amount Refund Schedule:
Cancel within 48 hours of booking AND at least 30 days before departure: Full refund of rental amount
Cancel 30 or more days before departure: 75% refund of rental amount (Renter pays 25%)
Cancel 30 to 15 days before departure: 50% refund of rental amount (Renter pays 50%)
Cancel 14 to 7 days before departure: 50% refund of rental amount only if unit is re-rented for the same dates; Renter pays 50% plus any difference in re-rental rate
Cancel less than 7 days before departure: No refund (Renter pays 100%)
No-show on day of departure: No refund (Renter pays 100%)
Company strongly recommends purchasing independent trip cancellation and interruption insurance for all event-based rentals.
15. ADDITIONAL CHARGES
The following charges may be assessed against the security deposit or added directly to the reservation balance at or after return:
Smoking: Evidence of smoking of any kind inside the Rental results in a minimum cleaning/deodorizing fee set by Company at the time of assessment, plus forfeiture of the full security deposit. Actual remediation costs may exceed the deposit.
Undisclosed Pets: Forfeiture of entire security deposit plus all actual pet damage charges.
Cannabis Use: Forfeiture of entire security deposit plus all actual cleaning, remediation, and repair costs; see Section 5B.
Interior Damage: Renter is fully responsible for all interior damage. Optional interior damage protection covers up to $1,500 for covered losses under that policy's terms.
Cleaning Fee: Rental must be returned in the same condition as at departure. Cleaning fees will be assessed if the Rental requires cleaning beyond normal use.
Biohazard / Mold: If the Rental is returned with evidence of biohazard conditions, mold, sewage leak/overflow, or similar contamination, Renter is responsible for all professional remediation costs, which may significantly exceed the security deposit.
Tank Dumping: Holding tanks must be emptied to at or below the level at departure. Dumping fees apply if not.
Fuel: Rental must be returned with fuel at or above the departure level. Per-gallon fees plus a service charge apply if not.
Generator Fuel: Renter is responsible for maintaining generator fuel. If the generator runs dry and causes damage, Renter is responsible for all repair costs.
Late Return Fee: See Section 10.
Generator Overage: Usage beyond 4 hours/day (averaged) billed at the confirmed overage rate.
Mileage Overage: Usage beyond 100 miles/day (averaged) billed at the confirmed tiered overage rate.
Slide-Out Damage: Any damage resulting from moving the vehicle with slide-outs extended is Renter's sole responsibility and is not covered by any protection package.
Unauthorized Towing: Immediate rental termination without refund, full forfeiture of security deposit, and full personal liability for all damage, recovery, and legal costs.
Lost or Damaged Equipment: All provided supplies, equipment, keys, and accessories must be returned. Lost or damaged items will be billed at replacement cost.
16. TOLLS, FINES, AND CITATIONS
Renter agrees to pay all tolls, parking citations, moving violations, red light camera fines, and all other fees or penalties incurred during the Rental Period. Company may, at its sole discretion, pay any such violations on Renter's behalf and charge Renter the full amount plus a reasonable administrative processing fee of $25 per violation. Renter expressly authorizes Company to release rental information and payment card details to relevant authorities, collection agencies, or toll processing services for the purpose of processing violation-related charges. Renter agrees to indemnify and hold Company harmless for all costs arising from citations or violations incurred during the Rental Period.
17. MAINTENANCE AND ROADSIDE ASSISTANCE
Company is responsible for ensuring fluid levels, tire pressure, lug nut torque, and general mechanical readiness are checked prior to departure. If any warning lights, abnormal noises, shaking, pulling, or other signs of mechanical issue occur during the Rental Period, Renter must immediately stop the vehicle in a safe location and contact Company at (775) 453-0601 before proceeding.
Breakdown Responsibility:
If a breakdown is caused by Renter's actions — including but not limited to overheating from extended operation, exceeding speed limits, operating in extreme temperatures without proper precautions, running out of fuel, or other Renter-caused events — Renter is solely responsible for all repair and towing costs.
If a breakdown results from Company's failure to maintain the Rental, normal mechanical wear and tear, or a manufacturer defect, Company bears the repair cost.
In ambiguous situations, Company and Renter agree to cooperate in good faith in determining the cause of the breakdown.
Emergency Repairs: Repairs under $200 may be completed by Renter in a genuine roadside emergency situation, with original receipts submitted to Company at return for reimbursement consideration. All repairs over $200 require prior written authorization from Company. Roadside assistance is included with qualifying protection package purchases.
18. FORCE MAJEURE
Neither Party shall be liable for failure or delay in performance caused by circumstances beyond their reasonable control, including but not limited to: acts of God, natural disasters, extreme weather, fire, flood, earthquake, pandemic, epidemic, government orders or restrictions, acts of war or terrorism, civil unrest, strikes, power outages, or actions by governmental authorities (including BLM closures, road closures, or Burning Man Organization cancellations or modifications).
In the event a major event is cancelled by the event organizer or a relevant government authority, Company will work in good faith with Renter to discuss refund options but is not obligated to provide refunds beyond the applicable cancellation policy unless Company's own performance is directly and materially prevented. Renter is strongly encouraged to purchase independent trip cancellation and interruption insurance for all event-based rentals.
19. SOCIAL MEDIA AND PHOTOGRAPHY
Permissions Granted to Renter
Renter may photograph, video, and share images of the Rental and their positive experience on personal social media accounts.
Renter may tag NV RV Rentals (@nvrvrentals) and use hashtags referencing the business.
Renter grants Company a non-exclusive, royalty-free, perpetual, worldwide license to repost, share, or otherwise use any content Renter publicly tags Company in or that publicly features Company's Rentals, for marketing and promotional purposes, without further compensation to Renter.
Restrictions
Renter shall not publish Company's vehicle storage location, home base address, or any proprietary operational details that could compromise security or business interests.
Renter shall not use NV RV Rentals' name, logo, or brand identity in any commercial, sponsored, paid, or affiliate promotion without prior written consent from Company.
Renter shall not post content depicting the Rental being used in violation of this Agreement.
Content that materially disparages NV RV Rentals, its owners, employees, or customers is subject to removal requests and may constitute a breach of this Agreement, entitling Company to seek appropriate remedies.
20. INDEMNIFICATION AND LIMITATION OF LIABILITY
Renter's Indemnification of Company:
Renter shall defend, indemnify, and hold harmless NV RV Rentals LLC and its members, managers, officers, directors, employees, agents, affiliates, and the vehicle's titled owner of record from and against any and all losses, liabilities, damages, injuries, claims, demands, costs, and attorneys' fees arising out of or related to: (i) Renter's use or possession of the Rental during the Rental Period; (ii) operation of the Rental by any Permitted Driver; (iii) Renter's breach of any provision of this Agreement; or (iv) any third-party claims arising from the rental.
RENTER WAIVES AND RELEASES COMPANY FOR ANY INDIRECT, INCIDENTAL, SPECIAL, PUNITIVE, EXEMPLARY, OR CONSEQUENTIAL DAMAGES, OR LOST PROFITS OR LOST USE, REGARDLESS OF LEGAL THEORY AND REGARDLESS OF WHETHER COMPANY HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
Company's total cumulative liability to Renter under or arising from this Agreement shall not exceed the total rental fees actually paid by Renter for the specific reservation giving rise to the claim.
21. DISPUTES AND ARBITRATION
For Rentals booked through Outdoorsy, Wheelbase, or another third-party platform, disputes shall first be governed by the applicable platform's dispute resolution procedures. Where those procedures are exhausted, inapplicable, or where the rental is a direct booking, the following applies:
The Parties agree to attempt to resolve any dispute arising out of or related to this Agreement through good-faith negotiation before initiating formal proceedings. If the dispute cannot be resolved informally within thirty (30) days of written notice by either Party, it shall be submitted to binding arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association. Arbitration shall take place in Washoe County, Nevada.
This Agreement is governed by the laws of the State of Nevada. Venue for any matter not subject to arbitration shall be in the state or federal courts of Washoe County, Nevada. If Company prevails in any enforcement or collection action, Company is entitled to recover all reasonable costs and attorneys' fees. Nothing in this Section prevents Company from seeking emergency injunctive relief in a court of competent jurisdiction.
22. GENERAL CONDITIONS
Entire Agreement. This Agreement, together with the booking confirmation and any signed addenda, constitutes the entire agreement between the Parties and supersedes all prior oral or written representations and understandings.
Amendments. This Agreement may not be modified except in writing signed by both Parties.
Non-Assignment. This Agreement is not assignable by Renter. Any attempted assignment is void.
Severability. If any provision of this Agreement is found invalid or unenforceable, the remaining provisions continue in full force and effect.
Waiver. No failure or delay by either Party in enforcing any right constitutes a waiver of that right.
Electronic Signatures. Electronic and digital signatures are deemed valid and legally binding to the same extent as original ink signatures.
Rate and Policy Changes. Company reserves the right to modify rates and policies for future unconfirmed bookings; rates and policies confirmed in a reservation are binding for that reservation.
Renter's Responsibility to Review. Renter is responsible for reviewing all booking confirmation details, including dates, rates, and applicable policies, prior to departure.
Authorization to Charge. Renter expressly authorizes Company to charge the payment method on file for all amounts owed under this Agreement, including but not limited to rental fees, security deposit, overages, damage charges, fines, and attorneys' fees, subject to applicable notice requirements.
No Partnership. This Agreement does not create a partnership, joint venture, or employment relationship between the Parties.
SIGNATURES AND ACKNOWLEDGMENT
By signing below, Renter confirms that they: (i) have read and fully understand all terms and conditions of this Agreement; (ii) are the designated Primary Driver; (iii) have had the opportunity to ask questions and receive answers prior to signing; (iv) accept full responsibility for any damage or incidents occurring during the Rental Period; and (v) authorize Company to charge the payment method on file for all amounts owed under this Agreement.
